3.4.4 Duplicate Alphanumeric Document Numbers

There are a number of duplicate alphanumeric document numbers in the SPIN database. These are a result of duplicate document numbers being used in both the Northern and Southern Land Titles Offices at a particular point in time.

When a duplicate document number is searched from the “Search Documents by Title Number” screen, both north and south documents will be returned for the user to choose between them. Southern Land Titles Office documents are distinguished by the placement of a period (.) after the document number.

3.4.5 One LINC Number for both a Surface and Mineral Title

In certain cases the same LINC Number has been assigned to both a Surface Title and a corresponding Mineral Title.

3.4.6 Faxed Portion of Registered Plan

This service has been discontinued due to the reduction in cost of accessing a full Registered Plan online.

3.4.7 Identification of Errors to Land Titles

Although every reasonable effort has been made to deliver the most accurate data products as possible, errors may occur. All clients are requested to report identified errors to Land Titles by forwarding an email to the following address: LTSystemSupport@gov.ab.ca.

Personal Privacy Protection - Private industry is now subject to the Personal Information Protection Act (PIPA) that defines the governance rules around how private industry must deal with any personal information they have within their operations, including any personal information obtained from a Land Titles data product. It is strongly recommended that clients become familiar with the conditions of this legislation since Land Titles cannot involve itself in making legal interpretations in this subject area.

3.0a SPIN 2 Volume Data Services Product Catalogue

Volume data services are intended for clients requiring large numbers of land titles and/or sub-set title data in a database ready format. This is a specialty service that general SPIN 2 users would not typically require therefore please do not call the SPIN 2 Help Desk with questions if your need’s are already being met by the existing SPIN2 interactive title search services

Applying for Volume Data Services:

All clients wishing to subscribe to any volume data service must have a new contract with Alberta Land Titles. The prescribed Land Titles data access application and contract is available for download from on the Publications website.

Please Note:

• E-mail Notification/FTP Download is the default Delivery Method and cannot be changed. FTP Download is only available for a period of 7 days from the time of e-mail notification; it is the responsibility of the user to ensure that their product is downloaded within that time limit.
• Land Titles reserves the right to limit the number of users to Volume Data Services and judge each application on an individual basis.
• Volume Data Services offerings should not be confused with Land Titles entering into the “value added” service sector but a continued growth of the technology it needs to use to meet its legislated registration and data distribution mandate.
• Alberta Land Titles will be the sole holder and distributor of land titles and/or original land title sub-set data products. No public or private sector agency will be allowed defacto distribution control over any Land Titles products.

3.1a Release 1 – Basic Volume Data Products

SPIN 2 ASCII / XML Format Documents and sample data are available for the following products from the Publications website. All clients wishing to subscribe to any volume data services must have a new contract with Alberta Land Titles. The prescribed Land Titles data access application and contract agreement are available for download from the Publications website.

3.1.1a Front of Title ASCII Delimited File, XML Data File or Text (Report) Product - By Current Surface and/or Mineral Title

Product Description:

• This title product contains LINC Number, Certificate of Title Number, short / long legal and other front of title data except owner information.
• Clients may search for title data from a specific date forward with this product.

Please Note:

• Volume title products in this category are not certified nor do they contain owner name (due to new privacy policy) and therefore should not be compared to a full certified title such as currently provided by SPIN 2 or the Registry Agent network.
• Orders are rounded to the nearest dollar amount.
• Clients may search for file data from a specific date forward with this product.
• There is a limit of 25,000 titles that that can be ordered at any one time.

3.1.2a Front and Back of Title (Full Title) ASCII Delimited File, XML Data File or Text (Report) Product – By Current Surface and/or Mineral Title

Product Description:

• This product should be considered as having all the elements of a full title less owner name.
• Back of Title information represents registered documents pertaining to the subject title(s) (e.g., Leases, Caveats, Easements, Mortgages, Liens, Rights-of-Way).
• Clients may search for title data from a specific date forward with this product.

• Volume title products in this category are not certified nor do they contain owner name (due to new privacy policy) and therefore should not be compared to a full certified title such as currently provided by SPIN 2 or the Registry Agent network.

3.1.3a Land Identification Numeric Code (LINC) ASCII Delimited File Product – By Current Surface and/or Mineral Title

Product Description:

• An economical title reference product in ACSII delimited format containing Municipality Code, LINC Number, Rights Type, Short Legal Description, Long Legal Description, ATS Reference and Title Number. This product would be suitable for loading into a database or GIS to facilitate online query for Land Titles.
• Clients may search for LINC file data from a specific date forward with this product.

Please Note:

• Volume title products in this category are not certified nor do they contain owner name and therefore should not be compared to a full-certified title such as currently provided by SPIN 2 or the Registry Agent network.
• To receive a copy of the LINC file for the Entire Province please contact the SPIN 2 Help Desk for instructions.
• A LINC number uniquely identifies a land parcel(s). It will be the primary “key” for accessing Land Titles data products once the full SPIN 2 development is fully completed.
• “Rights Type” distinguishes surface, mineral or both rights types.

3.1.4a Current Registered Document Data ASCII Delimited or Text (Report) By Document Type

Product Description:

• Current registered document information by document type for a specific Municipality or the entire Province, by surface and/or mineral title request (e.g., Leases, Caveats, Easements, Mortgages, Liens, Rights-of-Way).
• Clients may search registered document information for a specified document type by date range.

3.1.5a Certified Land Titles (PDF) with ASCII Delimited / XML Data File "Paper Clip" Attachment – By Current, Current Historical or Cancelled Surface and/or Mineral Title

Product Description:

• The Adobe Acrobat pdf title, formally accessible through the ETS System, has been replaced with the Acrobat title currently available through the SPIN 2 interactive Certified Title Search. Unlike the ETS product though, it is delivered as separate Acrobat titles in conformance with Land Titles adopted personal privacy management policy.
• This data service provides an option to attach and/or “paper clip” a Full Title ASCII Delimited File or XML Data File (with owner name) to individually purchased Certified Titles. The ASCII / XML file would be compiled as one file containing sequential titles suitable for loading into a database.
• The “paper clip” applies to selected “Current” or “Current Historical” Titles from the existing SPIN 2 interactive search that has been in production since October 1^st, 2003. The term “Current Historical” means that the returned live titles would have both current and discharged registration information.
• The "paper clip" product is only available for titles ordered with the delivery channel of e-mail or download. "Paper clip" PDF titles and ASCII / XML downloads are only available until the end of the current business day; it is the responsibility of the user to ensure that they download their products on the same business day.
• As with the other volume data products you must have a valid contract in place to have access to this product.

Current Pricing:

• Costs for this product are at no additional charge if requested at the same time as the Certified Title (i.e. $10.00 a title).
• Since this service is provided through the existing SPIN 2 interactive Certified Title search there is a limit of 250 titles that that can be ordered at any one time.

3.1.6a Land Titles Change Summary (LTCS) Product

• In the short term clients subscribing to the LTCS product will continue to access the product through the current download site but with owner name removed as per the implementation of Land Titles personal privacy management practices. Longer term this product will be replaced with a version of the Front of Title product.
